Terms & Conditions - Expeditions

Whilst 'reading the small print' is probably not everyone's idea of fun, it is nevertheless important that folk understand what it is that we (Hadrian's Wall Ltd) offer and provide, as well as the terms and conditions that come with those provisions. It may be that some of this information appears particularly formal and impersonal, however, we have made every effort to make it as clear and easy to access as possible.

Booking and Payment

Online, Phone, or Post - You may place a booking online, by telephone or by post. Your reservation will be made on receipt of a non-refundable £25 per person Deposit. Once the booking has been confirmed, you will be sent a ‘Booking Pack' which equates to the total value of the Deposit - including of a Map, Kit List, Advice on Time & Distance and an Itinerary outline.

8 Weeks Before Arrival - The final balance becomes due eight weeks prior to arrival and final payment options will be provided by us on acceptance of the booking.

6 Weeks Before Arrival Cut-off - Six weeks is the final cut-off point for payment and if the Final Balance has not been received six weeks prior to arrival, unfortunately the Booking will become cancelled and the Deposit will be forfeited.

After Final Payment - A 'Travel Pack' with further information, including more concise detail on the Expedition and Travel options to and from Hadrian's Wall, will be sent out after the final balance has been received.

Insurance

Safety

It is expected that you will have taken out adequate personal insurance to cover yourself, your equipment and your luggage in the event of cancellation, personal accident, illness or loss of possessions. Hadrian's Wall Ltd cannot accept responsibility for any loss, damage, illness or injury you might suffer on your expedition trek. Also, we cannot accept any liability for any loss damage or injury resulting from ‘force majeure' or any unforeseen circumstances beyond our control.

In the interests of safety, you must read, understand and fully comply with our 'Safety Measures', as well as undertake to follow the advice of any warning or advisory notices encountered during your walk. You should also follow the Country Code and requests of the Hadrian's Wall Path National Trail, acting sensibly and prudently at all times.

Skills & Fitness

Good walking skills are required. Please ensure you have the appropriate skills, fitness levels and equipment. If you have any doubts please refer to the ‘Kit List' and ‘Advice on Time and Distance' provided on booking or get in touch. The responsibility for ensuring the safety of the party rests solely with the party itself. We assume all clients will have a reasonable level of good health. Please advise us at time of booking of any medical condition or medication taken that may affect your walking ability or that would be useful for us to know in advance of being in remote areas.

Under 18 - We regret that we cannot accept bookings from any person less than 18 years of age unaccompanied by a parent or legal guardian. Persons under the age of 18 will be the sole responsibility of the parent / guardian.

Consideration for Others & Equipment

Noise - Please bear in mind that your accommodation is in a tent and therefore talking too loudly or shouting, is likely to disturb those in close proximity to you.

Anti-Social Behaviour - Expedition trekkers are expected to be considerate towards other people and their property. Rowdy, malicious, drunken, threatening, or lewd behaviour is not acceptable - nor is taking other persons' property without the owner's consent. Anyone acting in such a manner, will be immediately excluded from the remainder of the expedition, all monies paid by that person will be forfeited and no compensation shall be payable to that person.

Damages - Anyone causing damage to the company's equipment, through careless or negligent behaviour, will be held responsible for that damage and will be liable to pay compensation to the company, to cover the replacement costs of that equipment.

Conditions Acceptance

Acceptance of the above conditions is implied when you make a booking and this constitutes the limit of our liabilities.

Changes to Bookings

We reserve the right to change the itinerary where circumstances dictate. In the event that you wish to change any details of your booking we will do our utmost to help, however an administrative charge will be incurred. In extreme or unforeseen circumstance we reserve the right to cancel or refuse any booking, at which time we will refund all monies paid to us less the deposit. There will be no further entitlement to any compensation, damages or otherwise arising from the cancellation.

Cancellations

Before Final Balance Payment - Should you have to cancel any part of the booking before the final balance has been made, each person who cancels' deposit is non-refundable and therefore cannot be used towards the remaining balance of other participants in the original booking.

After Final Balance Payment - After the final balance has been paid, should you cancel your booking within eight weeks but not less than six weeks of arrival - we will refund the balance paid less the deposit and a £25 administration fee per person.

Within Six Weeks - Cancellations within six weeks of arrival are non-refundable and non-participants would need to make a claim on their own personal travel insurance.
